This policy includes guidance on advertising vacancies, conducting interviews and reference checks, and ensuring that all staff have appropriate qualifications and experience. Our primary goal is to safeguard the welfare of our students and maintain the highest standards of professionalism and integrity in our staff.
2. Scope
This policy applies to all employees involved in the recruitment process, including HR department, interview panel members, and administrative staff. It covers the recruitment of all full-time, parttime, temporary, and permanent staff, as well as volunteers and contractors.
3. Policy Statement
Fettes College Guangzhou is committed to safeguarding and promoting the welfare of its students and expects all staff and volunteers to share this commitment. We believe that every student has the right to be protected from harm and that the recruitment of suitable staff is essential to ensure a safe and supportive learning environment.
4. Advertising Vacancies
When advertising a vacancy, Fettes College Guangzhou will:
• Clearly state our commitment to safeguarding and promoting the welfare of students in the job advertisement and job description.
• Include the requirement for an enhanced background check (e.g., DBS check or equivalent, ICPC etc.) in the job advertisement and job description.
• Advertise vacancies through reputable channels, including our website, job boards, and relevant professional networks.
• Ensure that job descriptions and person specifications are accurate and up to date, reflecting the essential qualifications, experience, and personal qualities required for the role.
5. Application and Shortlisting Process
• All candidates must complete a standard application form, including a full employment history and a declaration of any criminal convictions.
• CVs will not be accepted as a substitute for a completed application form.
• Applications will be shortlisted based on the criteria outlined in the job description and person specification.
• Any gaps in employment history or discrepancies in the application will be explored during the interview process.
6. Interview Process
• Interviews will be conducted by a panel of at least two members, one of whom has completed safer recruitment training.
• A structured interview format will be used, with questions designed to assess the candidate's suitability for the role and commitment to safeguarding students.
• Candidates will be asked to provide original documentation proving their identity, qualifications, and right to work in China.
• Any gaps in employment history or discrepancies in the application will be explored during the interview process.
7. Reference Checks
• A minimum of two professional references will be required, one of which must be from the candidate's most recent employer.
• References must be obtained in writing and verified by telephone, where possible.
• Referees will be asked about the candidate's suitability for the role and their commitment to safeguarding students.
• Any concerns raised during the reference-checking process will be explored further, as appropriate.
• A phone reference check will take place within two-weeks before signing of the contract.
8. Background Checks
• All successful candidates will be required to undergo an enhanced background check (e.g.,DBS check or equivalent, ICPC etc.) before starting their role.
• Any offer of employment will be conditional upon the satisfactory completion of all required background checks.
• Fettes College Guangzhou will maintain a single central record of all staff, including the details of their background checks and qualifications.
• HR will also check social media and do research on the internet on each applicant before interviews take place.
9. Induction and Training
• All new staff will receive a comprehensive induction, including training on Fettes College Guangzhou's safeguarding policies and procedures.
• Staff will be required to attend regular safeguarding training and updates, as deemed necessary by Fettes College Guangzhou.
10. Monitoring and Review
This policy will be reviewed and updated regularly by Fettes College Guangzhou to ensure compliance with relevant legislation and best practice guidelines. Feedback from staff, students, and other stakeholders will be considered during the review process to identify areas for improvement and to ensure the ongoing effectiveness of our recruitment processes.
